By participating as a vendor, you agree to the following terms and conditions. Please read carefully before signing up.
General Vendor Guidelines
Promotional Materials:
Promotional materials cannot be placed outside of the assigned vendor booths (e.g., on walls, fences, poles, or chairs). Violations will result in a disposal fee deducted from the security deposit.
Booth Equipment:
Each booth will be provided with tables and chairs by the organizers. Vendors are responsible for safeguarding their items. The organizers are not liable for lost or stolen belongings.
Parking and Vehicle Access:
Vendors must use the designated vendor entry for loading and unloading. After unloading, vehicles must be moved to the designated vendor parking area to allow other vendors access. Parking in general attendee areas is prohibited.
Beverage Sales:
Vendors are not permitted to sell soda or water.
Security Deposit:
A refundable security deposit is required and will be returned within 30 business days after the event, provided all guidelines are followed.
Vendors are responsible for keeping their booth area clean, safe, and free from damage.
Deposit checks can be submitted separately from the booth fee. Vendors submitting separate checks may retrieve their deposit check from the Vendor Coordinator after the event.
Assigned Space:
Vendors must remain in their assigned locations and may not move their booths, tables, or chairs without prior approval.
Liability:
The organizers are not responsible for any loss, damage, fire, theft, or injury caused by exhibits or exhibitors. Vendors accept full responsibility for any damage caused to the venue or facilities by their booth or activities.
Food Vendor Requirements
In addition to the general terms, food vendors must adhere to the following:
Cleaning and Sanitation:
Vendors are required to provide their own cleaning and sanitation stations. Water will be available onsite for use.
Oil Disposal:
Vendors must dispose of all oil offsite. Failure to comply will result in the forfeiture of the full security deposit.
Food Inspection:
Vendors must comply with health inspection standards. Failure to pass an inspection will result in forfeiture of vendor fees and deposit, and the vendor will be required to leave the event.
Fire Safety:
Vendors using active fires (e.g., pits, propane) must have a functional fire extinguisher onsite.
Propane must be stored safely away from fire hazards and public areas.
Cooking areas with active flames must use protective ground coverings to prevent stains or damage from food or oil spills.
Inspection Fee:
A $20 (single event) or $60 (annual) inspection fee is required for non-permanent food vendors. Payments must be made by check, money order, or online via Hutto Fire Rescue, using the Fire Marshal payment portal. Cash payments are not accepted.
Trash Management:
Vendors must provide their own trash bags or containers.
Trash cans will be available throughout the venue, and dumpsters will be provided for disposal. Vendors are encouraged to assist with trash removal if possible.
Compliance and Acknowledgment
By signing up as a vendor, you agree to comply with these terms and conditions. Failure to follow the guidelines may result in fines, loss of deposit, or removal from the event.
